General Note
The society refers to that part of Wharfedale Agricultural Society that organises and delivers Otley Show.
The society has looked at the requirements of the General Data Protection Regulation and how it affects  the information it holds on it’s members, customers, contractors and exhibitors. The society has determined that it is not required to register with the Information Commissioners Office.

Four groups of people or organisations have been identified for which the society holds personal information.

Exhibitors

Members
The society holds the names and addresses of people who have chosen to become members of the society. Members receive certain benefits on Show day and the right of attendance at the AGM where they have some voting rights.
Members personal details are kept only for this purpose and are not passed to any other people or organisations.

Customers
Customers describes people or organisations who purchase a service from the society. Typically this will be trade stands or concession rights on Show day.
Details including contact names, addresses and telephone numbers are kept year to year to inform customers about the service they have purchased and possibly to invite them to participate in the next years show. Basic bank details will also be held to process payment for services. Customers contact details may be shared with other local shows.

Contractors
A contractor is any person or organisation that is paid for providing a service to the society.
Contractors details including contact names, addresses and telephone numbers are kept to keep them informed of the society’s requirements, and possibly to invite them to participate in the next years show. Basic bank details will also be held to process payment for such services. Contractors contact details may be shared with other local shows.

Exhibitors
An exhibitor is any person who has paid an entry fee to enter or compete in any of the classes offered by the society on Show day.
Contact details are kept only to inform exhibitors about the classes they have entered.
Exhibitors personal details are kept only for this purpose and are not passed to any other people or organisations.
